Leads & conversations documentation
Where contacts and conversations land once ARIA Voice, ARIA Agent, or your public contact form capture them.
Who this is for
Sales, service, and operations staff who follow up with contacts captured through ARIA Voice or your website.
Where leads come from Available now
- A web or telephone conversation through ARIA Voice, where contact details and interest are extracted automatically.
- The public contact form, submitted directly by a visitor.
Lead lifecycle
A lead starts as new and is associated with a customer record, a source, the product interest expressed, and a status your team updates as you work it. Repeat contacts are matched to their existing customer record rather than creating duplicates where identifying details match.
Viewing leads in the dashboard Available now
- Sign in and open the Leads section.
- Each row shows the contact, their expressed product interest and source, and current status.
Conversation records Available now
Every conversation — web or telephone — produces a record with its channel, duration, and outcome, attached to the relevant customer where one exists. A full transcript reader inside the dashboard is Planned; today the dashboard shows summary-level records.
Viewing conversations in the dashboard Available now
- Open the Conversations section for a combined, organization-scoped view of recent activity.
- Open the ARIA Voice section for the same data in the context of your voice agents specifically.
Permissions
Conversations are visible to Admin, Manager, and Member roles. The full Leads list is restricted to Admin and Manager; Member accounts see a clear permission notice. All records are scoped to your organization only.
Realistic examples
- A website visitor asks about pricing through ARIA Voice, leaves an email address, and appears in Leads within moments, tagged with the product they asked about.
- A returning caller is matched to their existing customer record, so their new call shows up alongside their prior history rather than as a stranger.
Known limitations
- No full-transcript reader in the dashboard yet — only summary-level conversation records.
- No lead-status editing or pipeline board inside the dashboard yet — status changes happen outside the current dashboard views.
Troubleshooting
Example: a lead you expected isn't showing up. Confirm the conversation actually completed and that you're checking the right organization account — leads never cross organizations. If it's still missing, contact your implementation contact. For access issues, see the general troubleshooting guide.
